Etsy Payment Account 2026: Fees, Deposits & Net Profit

Quick answer: Your Etsy deposit is not the same as sales revenue or true profit. The Payment Account separates money available now from money still processing. Fees, refunds, labels, ads, reserves and payout timing can all change the amount that reaches your bank.

Etsy updated how shop finances are presented in 2026. The revised Payment Account helps answer a practical question: What money is available now, and what is still pending?

That does not turn a deposit into a profit report. You still need to separate Etsy account timing from the real costs of producing and fulfilling an order.

What changed in Etsy Shop Finances in 2026?

The Payment Account now presents the balance in three parts.

Current

This is account activity that has cleared into Current. It can include funds eligible for deposit after applicable refunds, fees, shipping-label purchases and other activity. A positive Current balance does not always mean the same amount will arrive immediately because deposit schedules, country minimums, reserves and holds can affect timing.

Pending

Pending includes recent earnings still processing. It can also include reserve funds and fees associated with earnings that have not moved into Current. Pending money is not necessarily lost; it normally means it is not ready for deposit yet.

Total

Total combines Current and Pending. It is an account-balance view, not a business-profit number. Charges not tied to one order—such as listing fees, Etsy Ads, labels or subscriptions—can affect Current when charged.

Payment Account, deposit and profit are different numbers

NumberWhat it meansWhat it does not include automatically
Sales revenueMoney generated by orders before all deductionsFull business costs and payout timing
Etsy depositEligible funds transferred according to the deposit scheduleA complete profit calculation
Net profitRevenue minus Etsy fees and every real business costNothing, if every cost is recorded correctly

A deposit can contain sales from several days and exclude newer orders still pending. It can also be reduced by fees, refunds, labels or an older negative balance.

The basic Etsy Payment Account flow

  1. A buyer pays for an order.
  2. The sale and its fees appear in the Payment Account.
  3. Some funds may remain Pending while they process or sit in reserve.
  4. Eligible funds move into Current.
  5. Etsy applies other charges, refunds or credits.
  6. The amount meeting account and country requirements becomes Ready for deposit.
  7. Etsy initiates the transfer according to the deposit schedule.
  8. The bank may take additional time to post it.

Why is my Etsy deposit lower than my sales?

1. Etsy fees were deducted

  • $0.20 USD listing fee when a listing is created or renewed.
  • 6.5% transaction fee on the listing price plus shipping and gift wrapping charged to the buyer.
  • Payment-processing fees that vary by bank country.
  • Regulatory operating fees where applicable.
  • Etsy Ads or Offsite Ads fees where applicable.
  • VAT or other taxes on seller services in some locations.

Do not assume one universal percentage. The total depends on the order, location, currency, ad attribution and optional services.

2. Some funds are still Pending

Etsy says funds for new shops are generally eligible around 14 days after a sale, while established shops may have orders available as soon as the next business day depending on account standing. The date shown in your account is the relevant date.

3. A Payment Account reserve applies

A reserve sets aside a percentage of funds from eligible physical-item sales for a period or until qualifying tracking shows the order is in transit. Account-specific percentages and release details appear in the seller's own Payment Account.

4. You changed bank details

Changing bank-account information can trigger a five-day security hold before deposits resume.

5. You have not reached a deposit minimum

Some markets have minimum deposit amounts or a fee below a defined threshold. Etsy currently lists Morocco with a MAD 20 deposit minimum, a MAD 1,000 fee threshold and a MAD 20 deposit fee below that threshold. Confirm the live figure in your own account.

6. Billing or bank details need attention

An expired card, incomplete bank verification or a returned deposit can delay payment.

7. Other account activity reduced Current

Refunds, labels, listing renewals, ads and subscriptions can reduce Current even when they are not part of the order you are reviewing.

A worked example: deposit is not net profit

Assume one order has a $40 item price and $5 shipping charge. The transaction fee is 6.5% × $45, or $2.93 after rounding, in addition to the listing fee and the applicable country-specific payment-processing fee. The seller may also have $12 in product cost, $6 in shipping, $1 in packaging and $8 in labor.

Etsy can show the sale and its platform fees, but it does not know every outside business cost.

Net profit = order revenue − Etsy fees − product cost − shipping − packaging − labor − other costs

An Offsite Ads order or currency conversion can reduce the margin further. Ready for deposit cannot replace a cost ledger.

How to reconcile Etsy deposits with real profit

Run this process once per month instead of explaining every bank transfer in isolation.

Six-step monthly workflow for reconciling Etsy statements, bank deposits and profit.

Step 1: Choose one reporting period

Use a complete calendar month. Deposits can include activity from a different period.

Step 2: Export the statement

In Shop Manager, open Finances → Payment Account and download the Monthly Statement CSV. Keep the original file and work from a copy.

Step 3: Separate sales from adjustments

Total gross sales, refunds, listing fees, transaction fees, processing fees, regulatory fees, ads, shipping labels, credits, seller-service taxes and deposits separately.

Step 4: Add costs Etsy cannot see

Record materials, production, outside shipping, packaging, labor, software, design assets, currency costs and allocated overhead.

Step 5: Calculate profit separately from cash timing

Operating result = sales − refunds − platform fees − direct costs − allocated overhead
Cash received = bank deposits received during the period

They can differ because of pending funds, reserves and payout schedules.

Step 6: Investigate unexplained differences

Check Current, Pending, Total, the Ready for deposit date, deposit schedule, reserve notice, bank hold, minimum threshold, billing card, returned deposits, refunds and credits.

Monthly finance checklist

  • Export the Monthly Statement CSV.
  • Reconcile gross sales and refunds.
  • Group every Etsy fee by type.
  • Separate Offsite Ads orders.
  • Add product, shipping, packaging and labor costs.
  • Compare statement deposits with bank deposits.
  • Explain Pending and reserve amounts separately.
  • Exclude test orders from commercial KPIs.
  • Save one month-end snapshot.
  • Review margins before a discount or ad campaign.

Common mistakes

Treating revenue as income

A $45 order is not $45 of income. Fees and operating costs remain.

Treating the deposit as profit

A deposit is a cash transfer that may mix several orders and dates while excluding pending funds.

Ignoring labor

If an item is profitable only when time is valued at zero, the price or process may need work.

Using an old or country-blind formula

Processing fees, deposit rules and regulatory fees can vary by country. Verify important decisions against Etsy's current policy and your Payment Account.

Lowering prices before checking the worst case

Model discounts and an Offsite Ads order first. Extra fees can turn a normal margin into a weak or negative one.

Frequently asked questions

What is the difference between Current and Pending?

Current contains cleared activity and funds that may be eligible for deposit after deductions. Pending contains recent earnings still processing, reserve funds and related activity not yet moved into Current. Total combines both.

Does Current equal what Etsy will deposit today?

Not always. The deposit schedule, minimums, reserve, bank status and holds affect what becomes Ready for deposit.

Why does my deposit not match net profit?

Deposits follow payout timing. Profit also subtracts product, shipping, packaging, labor and other costs Etsy may not know.

How long do new sellers wait?

Etsy says new sellers generally have funds become eligible around 14 days after a sale, though timing can vary. Use the availability date in your account.

Can I choose deposit frequency?

Eligible sellers can generally choose daily, weekly, biweekly or monthly deposits. Some countries and payout providers have different restrictions.

What is a Payment Account reserve?

It is a portion of funds temporarily held for potential refunds, chargebacks or other account risk. Your account shows the applicable details.

Are Etsy fees the same everywhere?

No. Processing fees, VAT, regulatory operating fees, deposit thresholds and currency effects can vary.

When should I contact Etsy about a missing deposit?

First check the scheduled date, Pending balance, reserve, bank hold, minimum threshold and billing details. If a sent deposit does not arrive in Etsy's stated timeframe, follow Etsy support and check with the bank.

Final takeaway

Use Current, Pending and Total to understand where the money is. Use a monthly cost ledger to understand whether the order was profitable.
